Information the service handles

Account information includes your name, email address, password hash, verification state, and workspace membership. Signed-in sessions may include browser and IP information for account security. The service stores parcel searches and chosen parcels, project briefs, scenarios, report versions, source snapshots, checklist progress, comments, support requests, and documents you choose to upload.

Team actions, reviews, sharing changes, and billing events are recorded in an audit trail. When payments are enabled, SitePrep stores order references, amounts, statuses, and provider identifiers. Payment-card details are entered through the payment provider rather than stored in SitePrep.

How that information is used

Information supports account access, saved work, parcel research, report generation, collaboration, customer support, billing, fraud prevention, and service reliability. Feedback about whether a report changed your decision helps assess the usefulness of the product. Notification choices are saved per workspace in your account settings.

If you invoke an AI explanation, the relevant prompt and report context may be processed by the configured AI provider. Avoid adding unrelated sensitive information to briefs, comments, or uploads. Generated explanations are retained with their source context and usage information where the feature records them.

Who can see your work

Workspace members have access according to their assigned role. Owners and admins manage access; assigned researchers may examine records needed for a review. A report shared through a link can be read by people who possess that link until it expires or is revoked. Share links are a separate decision from inviting a workspace member.

Depending on the configured environment, service providers may process hosting, database records, private files, payments, email, or AI requests. The intended hosting stack is Vercel with Neon PostgreSQL. Authoritative parcel and map services receive the location or parcel query needed to return records. Those services may have their own privacy practices.

Storage, security, and retention

The application uses password hashing, server-validated sessions, role checks, tenant isolation, restricted file access, and auditable changes. No system eliminates all risk. Keep your credentials private, review active sessions, and revoke access when a collaborator no longer needs it.

Saved records remain available while needed for the workspace and service operations. A deletion request opens a tracked review of shared ownership, billing records, audit history, and any retention obligations. Backups can retain earlier copies until their retention cycle ends. Submitting a request does not immediately remove every copy.

Cookies and browser storage

Essential cookies maintain signed-in sessions and authentication security. The illustrative sample may save its own settings and scenarios in browser storage, separately from your authenticated workspace. Clearing browser storage removes local sample data; it does not delete server records.

Your choices and requests

Use My account to update your profile, change your password, end other sessions, manage preferences, request deletion, or, as a workspace owner, export workspace records. Original attachments can be downloaded from their report. For correction requests, personal-data access, an export that exceeds the in-app limit, or a question about retention, submit a support request.

Only upload and share information you are authorized to use. SitePrep is intended for adults researching land and home projects; do not submit children’s personal information. Changes to this notice will be reflected in its update date and presented when relevant to the service.
